Getting Started

PostCanary is a direct-mail platform. You design a mailer, choose who receives it, and send it — then measure what it earned. There is no subscription fee; you pay for each send.
Send — build a campaign, pick a target area or use a list you already have, add your mailer, and approve it for print and mailing. Measure — upload your mail list and your CRM data, and we match them so you can see conversion rate, ROI, cost per acquisition, and where your best customers are.
Campaigns page, or upload data from the Dashboard to analyze mail you already sent.
No. The send wizard takes about five minutes and explains each step. For analytics, if you can export a CSV from your CRM or mailing platform, you have everything you need.

Sending a Campaign

1) Choose Your Audience, 2) Pick Your Area (or Upload Your List if you send to a list you already have), 3) Your Mailer, and 4) Review & Send. Most campaigns take about five minutes to build. Your draft is saved as you go, so you can leave and come back.
Target an Area lets you pick a neighborhood on the map and filter it down to the households you want; we supply the recipient addresses. Send to a List mails to a list you already have, such as your own customers.
in production, in transit, and delivered. You can follow every stage on the campaign page.
Pick any weekday as your mailing date. Weekends are not available, and holidays are confirmed by our system when you approve. If a date stops being available while you are working, we move your mailing to the next available date and ask you to approve again.
pending review until our team clears it. This normally takes a short time, and you are not charged for print until it clears.
Yes. Campaigns have a maximum recipient count, and the Review step warns you if your audience is over it. Narrow your filters or reduce your area to get back under the limit. If you need a larger send, contact support and we will help you plan it.
support@postcanary.com immediately if something is wrong — do not approve it again.
Campaigns page lists every draft and sent campaign with its current status. Open any campaign for its audience, proof, schedule, cost, and fulfillment progress.

Choosing Your Audience

Pick Your Area, select the area you want on the map, then open Filter to narrow it. The Count & Cost panel updates as you go, so you always see how many households you are mailing and what it costs before you commit.
Who lives there — homeowner status (homeowners or renters), age, children's ages, how long they have lived there, and education level. The home itself — building type, year built, square footage, lot size, bathrooms, rooms, and whether it has a pool or garage. Money — household income, disposable income, home value, home equity, estimated monthly mortgage payment, and loan-to-value. Timing — recently moved in, or bought their home within a set period. You can also filter on email availability. The exact list can change as our data provider's coverage changes, so the filter panel is always the accurate source.
Because a filter only includes homes where we actually know the answer. If you filter for ages 35 to 50, we can only include homes where we know someone's age — homes with no age on file drop out, not because they failed your filter but because we cannot tell whether they would pass it. It works like a filter in a spreadsheet: blank cells do not match, so they disappear from the results.
Possibly, and it is worth knowing before you send. A home with no age on file might be exactly the customer you want — we just cannot prove it, so we leave it out rather than mail it on a guess and charge you for it. If your audience drops further than you expected when you add a filter, this is usually why.
Known for almost every home: homeowner status, household income, education, and whether there are children — filtering on these barely shrinks your audience. Known for most homes: age, home value, year built, and estimated mortgage payment; expect to lose somewhere between a quarter and a half of homes when you use these. Known for fewer homes, especially in cities: lot size, bathrooms, rooms, and square footage. In newer suburban neighborhoods we often have these for most homes; in dense older cities we may only have them for about one home in five.
Most of this comes from property records, which are far more complete for single-family homes than for apartments, condos, and multi-unit buildings. A detached house usually has a full record with lot size and room counts. A third-floor apartment often does not. The denser the area, the less property detail exists.
Yes, and this is the part worth watching. Each filter removes the homes it cannot confirm, so three filters that each look reasonable on their own can leave you with a fraction of the neighborhood. If your count falls further than you expected, remove one filter at a time to see which one is doing it.
Pick your area first and note the total — that is your ceiling. Then add filters one at a time and watch what each one costs you. Ask whether the trade is worth it: narrowing 20,000 homes to 2,000 is a real gain if those are the right people, and a bad trade if you dropped 10,000 good homes because a field was blank. The filters we know best — homeowner status, income, and location — do most of the useful work for most businesses and cost you very little reach.
Not meaningfully. Some details simply are not recorded for every household, and that is true across the industry. We compared providers directly before choosing ours and coverage was broadly similar. We would rather show you the smaller, honest number than pad it with homes we cannot stand behind. Whatever the audience count says, that is who gets mail and that is what you pay for — it is never an estimate.
From a licensed third-party property and consumer data provider. The records are purchased for your campaign at the moment you approve it, and the cost is already included in your per-mailer price — there is no separate list fee.
Send to a List in step 1 and use a list you already have. Your list is still checked against your Do Not Mail entries before the send goes out.

Your Mailer

6″ × 9″ postcards. Artwork must be supplied full bleed so nothing important sits at the trimmed edge.
Upload your own print-ready design, or order a professional design from our team for a one-time $199 fee. You can also reuse any artwork already saved in your Designs library.
PDF, PNG, or JPEG, at least 1875 × 2775 px (300 DPI, full bleed). A front design is required. The back is optional — leave it blank and we print a blank back with the address block. You must confirm that you have the rights to print any image you upload.
approve the proof or request changes, and our team revises it. The $199 fee is settled with your campaign checkout — if you cancel the request before work is delivered, you are not charged.
Designs page and shared across your organization, so you can reuse it on later campaigns without uploading it again.
Yes. Final proof approval is required before we can confirm a guaranteed mailing date and send your job to print. Review both sides carefully — after approval the proof can no longer be sent back for changes.

Tracking Your Mail

submitted to print partner, accepted and queued for production, printing, in transit, and delivered — along with the partner order ID.
The postal service could not deliver that piece and sent it back, almost always because of a bad address. Correct the recipient address and resubmit it. Consider adding persistently undeliverable addresses to your Do Not Mail list.

Do Not Mail

It is your suppression list. Any address on it is removed from your campaigns before they are sent, so you never mail a household that asked not to hear from you.
Audience → Do Not Mail. You can add a single address with the form, or upload a CSV to add many at once. Use the two-letter state code (for example AZ).
Yes. Find the entry in the table and delete it. It becomes eligible for mailing again on your next campaign.
Yes. Suppression is applied automatically to every send from your organization, whether the audience came from our data or from your own list.

Uploading Data for Analytics

CSV (comma-separated values) files. Most spreadsheet apps and CRM platforms can export to CSV.
Mail file contains the list of people you sent a direct-mail piece to (names, addresses). A CRM file contains the people who converted — signed up, purchased, or responded. We match the two to determine campaign performance.
At a minimum you need name and address fields (first name, last name, street address, city, state, zip). Additional columns like campaign ID, mail date, or sale amount allow for richer analytics.
There are no subscription tiers, so there are no plan-based monthly row limits. Each file you upload can be up to 10 MB — a list of several thousand recipients is normally well under that. If a file is larger, split it into smaller files and upload them separately.
You can upload files individually, but both a Mail file and a CRM file are required to generate match results and KPIs. You can upload them at different times — matching runs once both are present.
Column mapping tells our system which columns in your CSV correspond to fields like first name, last name, street address, city, state, and zip code. This ensures accurate matching between your mail and CRM data.
It means we could not automatically detect all the required columns in your file. Open the mapping screen, review the suggested mappings, and manually assign any columns that were not matched.
Open the file's mapping view, check each required field, and use the dropdown to select the correct column from your CSV. Once all required fields are assigned, save the mapping and re-run the match.

Dashboard & Analytics

conversion rate, return on investment (ROI), cost per acquisition (CPA), total mailers sent, total conversions, and revenue attributed to direct mail.
Conversion rate is the percentage of people from your mail file who also appear in your CRM file — in other words, the share of recipients who took action.
ROI = (Revenue from Conversions − Mail Cost) ÷ Mail Cost × 100. It tells you how much return you earned for every dollar spent on direct mail.
These tables rank the geographic areas where your mailings produced the most conversions, helping you focus future campaigns on your highest-performing markets.
The YoY chart compares your current period's conversion metrics against the same period from the prior year, so you can spot trends and measure growth over time.
Dashboard shows core KPIs, the Map shows where recipients and conversions are located, Analysis adds AI-generated findings and recommendations, and Audience adds Census-based demographic profiling.

Map

The map visualizes where your mail recipients and conversions are concentrated geographically. Warmer colors indicate higher density, making it easy to spot your strongest markets at a glance.
Yes. Use the filters at the top of the page to narrow results by date range or specific upload batch.
Only addresses that geocode successfully appear on the map. Incomplete or placeholder addresses in your upload cannot be placed. Check your address columns are mapped correctly and that the data contains real street addresses.

Analysis (AI Insights)

executive summary, detailed analysis sections, and prioritized recommendations with specific actions you can take to improve results.
It runs automatically after each completed match run. The system analyzes your KPIs, geographic performance, mailing frequency patterns, seasonality trends, and revenue data, then produces a structured report. This happens in the background and does not delay your results.
executive summary (2–3 sentence overview), 4–6 analysis sections covering conversion performance, geographic patterns, mailing frequency impact, seasonality, and revenue trends, plus 3–5 prioritized recommendations with data-backed rationale for each.
High means plenty of data for reliable conclusions. Moderate means findings are directional and should be read carefully. Limited means very few matches were found — the findings may not reflect broader patterns.
Regenerate to re-analyze your most recent match run. This is useful after additional data has been processed.

Audience (Demographics)

home value, home age, age range, household income, and property type — so you can see who your customers are and which segments convert best.
U.S. Census Bureau American Community Survey (ACS). It is matched to your customers' ZIP codes and reflects neighborhood-level trends — not individual-level data. The results show general patterns for the areas your customers live in.
Matches analyzes only converted customers — mail recipients who also appeared in your CRM. All Customers analyzes your entire CRM customer base regardless of whether they received a mailer. Comparing the two shows how your converting audience differs from your broader customer base.
top 10 audience segments by conversion lift. Each segment combines tenure (homeowner or renter), age bracket, and home value bracket. For each segment you see its match rate, lift multiplier, response strength, and a recommended action (Increase Volume, Keep As-Is, or Decrease Volume).
2.0× lift means that segment converts at twice the overall rate — it is pulling more than its weight. Higher lift indicates a stronger-performing audience segment.
25 matches, charts are limited and recommendations are hidden. Between 25 and 99 matches, results are shown with a low-confidence qualifier. 100+ matches gives full confidence in the analysis.
All Time, Last 90 Days, Last 6 Months, Last Year, or a custom date range.

Billing & Pricing

$0 subscription fee. There are no paid plans, free tiers, or monthly analysis entitlements. You pay for each physical-mail send, and for a custom design if you request one.
$0.89 per mailer, at any quantity. The price includes recipient data, printing, and postage.
At approval, when you complete checkout for the campaign. A valid payment method is required before a campaign can proceed. A custom design request takes no card; its fee is charged at campaign checkout.
No. Active, trialing, free, paused, and other legacy subscription states do not change the price of a send. Only an explicit internal credit can offset a send, and that credit is recorded in the billing ledger.
$199 charge, settled with the campaign checkout. No card is taken when you request the design. Cancel the request before campaign checkout and you are not charged.

Team & Access

Team and invite them by email address. They receive an invitation link, and the invitation shows as pending until they accept it.
Owner, Admin, Member, and Viewer. Owners and admins manage the organization and its team; members do day-to-day work; viewers can see results but not change them.
Completing a campaign purchase requires purchasing permission. It is included with the roles that manage the organization, and it can be granted to or removed from an individual member on the Team page.
Remove the member from the Team page. They lose access to your organization's campaigns, uploads, and results immediately.

Privacy & Security

All data is encrypted in transit (TLS) and at rest. We follow industry-standard security practices and never sell or share your data with third parties.
Only authenticated members of your organization can view your uploads, campaigns, and results. Our support team may access data only when assisting with a support request you initiate.

postcanary.com/privacy/request — access, correction, deletion, or opt-out. The form returns a reference number; keep it for any follow-up messages about that request.
Do Not Mail list. It is suppressed from every future campaign automatically.

Troubleshooting

Make sure your file is a valid CSV and contains at least the required columns (name and address fields). If the problem persists, re-export the CSV from your source application, or split a very large file into smaller ones.
The most common cause is incorrect column mapping. Check that each field (first name, last name, address, city, state, zip) is mapped to the right column. Also verify that your CRM file covers the same time period as your mail file.
Common causes are a missing payment method, an unapproved design proof, an audience over the recipient limit, or a mailing date that is no longer available. The Review step names the specific problem — fix it and approve again. If a message tells you to contact support and not retry, please do exactly that.
Retry design request to resubmit the same brief. If it is still stuck, email support@postcanary.com with the campaign name.
Almost always the resolution. The file must be PDF, PNG, or JPEG and at least 1875 × 2775 px at 300 DPI, full bleed. Export again at print resolution rather than scaling a screen-sized image up.
